The Top CRMs for Photographers

In alphabetical order, I have looked into the following CRMs and have lent quick feedback about each to help you make an informed decision. And below the list of CRMs for photographers, I will also make a note over each primary thing that you should take into consideration as you make this important decision.

17hats (click here to get a big discount)

This is what I use for my photography business. 17hats is perfect for photographers seeking a comprehensive CRM solution. From lead capture to automated workflows, this CRM has you covered. It also integrates seamlessly with popular software like Lightroom and QuickBooks.

Additionally, I really like how 17hats integrates seamlessly with my website platform of choice, Showit. You can do what’s called a “lead capture email.” Essentially, you build a custom contact form inside of Showit (however you want it to be), the website visitor hits the “submit” button on that contact form – and then that will create a “Showit lead” inside of your email inbox. The 17hats system will then automatically keep an eye on that inbox for emails coming from the Showit lead source – which then automatically creates a project with that lead information – and if you set it up – it will then send over an autoresponder. (I promise it’s way easier than it sounds in that paragraph.)

I also really like 17hats because I have multiple photography brands and I can manage all of them under one singular account on 17hats.

Dubsado

Dubsado is a highly customizable CRM that caters to photographers of all niches. Whether you specialize in weddings, portraits, or landscapes, Dubsado lets you personalize your client communication while automating mundane tasks.

A lot of photographers really like Dubsado because of the aesthetic capabilities of the client portal, but personally speaking – I don’t think it really matters. (If you think otherwise, that is 100% okay, obviously).

Check out this video on YouTube for a tutorial on how to design a proposal template for a prospective client.

If you want something robust, check out CRMs like Tave or Sprout.

HoneyBook (click here to get a big discount)

Personally, I use Honeybook for my education business. As mentioned above, I use 17hats for my photography business.I am also a Honeybook Pro (as a business consultant), but don’t let that sway you from this sounding biased. HoneyBook is designed with creative entrepreneurs in mind, and photographers adore its user-friendly interface. It offers a suite of tools, including contract management, invoicing, and allows clients to book directly through your website with an embedded form.

Salesforce

Salesforce is a robust CRM platform suitable for larger photography businesses with complex workflows and multiple team members. In my opinion, this is not a good option for most photographers due to the advanced nature of the platform (and equally higher price point).

ShootQ

ShootQ boasts a simple yet powerful CRM system. It allows you to create customized workflows, send contracts, and track leads effortlessly. Its integration with popular email platforms keeps you in touch with clients seamlessly. I know some higher volume photographers that like ShootQ, but I don’t know too many photographers who use it outside of that realm.  (To be clear, not saying it’s bad for other photographer types, but just sharing my experience coaching photographers and having helped now thousands of photographers over the years in my communities.)

Sprout Studio

Sprout Studio provides an all-in-one solution for photographers, combining CRM with galleries and even bookkeeping. Its visual timeline feature keeps your shoots and appointments organized. A very popular software tool with a large fan base to boot. I do recommend that you trial out Sprout as you compare and contrast while you make your decision.

Studio Ninja

Studio Ninja is designed specifically for photographers and offers a clean and intuitive interface. It’s packed with features like automated workflows, lead tracking, and client questionnaires. And their team is simply awesome. Truly.

I had the pleasure of being on their podcast talking all about SEO, conversion and really just building your photography business without ads. So, if you would like to check out the podcast and listen in, I highly encourage it.

And if you would like to check out their own YouTube channel, you can do so right here.

Táve

Táve is a comprehensive studio management solution tailored specifically for photographers, videographers, and other wedding professionals and small businesses in the creative industry. It offers a range of features designed to streamline workflows, automate repetitive tasks, and improve client relationships. Táve helps photographers organize, optimize, and automate their complete workflows, resulting in significant time savings and increased productivity.

Táve is a CRM built for efficiency, making it a hit among busy photographers. Its lead management system and automated workflows save you valuable time and ensure you never miss a potential client.

It’s not the cheapest one out there, but for good reason – it comes with more bells and whistles.

PS, Tave has a YouTube channel as well, but it appears to not have been updated that much at the time of this article.

Robust Client Management Features

One of the standout features of these CRMs is their ability to seamlessly manage and organize client information, ensuring a smooth and efficient workflow. As a photographer, it’s crucial to have all client details readily available at your fingertips.

These CRMs offer robust client management features that allow you to store and access client contact information, project details, and even preferences in one centralized location. With just a few clicks, you can easily retrieve important information about your clients, such as their preferred shooting locations or specific styles they’re interested in. Moreover, these CRMs go beyond basic contact management by integrating social media platforms directly into their systems. This means you can effortlessly connect with your clients through various channels without switching between multiple apps or websites. Additionally, automation tools provided by these CRMs enable you to streamline repetitive tasks like sending follow-up emails or reminders for upcoming photoshoots. By automating these processes, you can focus more on delivering high-quality work rather than getting caught up in administrative tasks.

Transitioning into the subsequent section about ‘affordable pricing and good customer support,’ photographers will be pleased to know that these CRMs not only offer robust features but also come at an affordable price point.

Affordable Pricing and Good Customer Support

When it comes to choosing a CRM for photographers, there are two important factors that I always consider: affordable pricing and good customer support.

Before making a decision, I thoroughly compare the pricing plans and features offered by different CRMs to ensure I’m getting the best value for my money.

Additionally, I find it crucial to read reviews and testimonials from other photographers to gauge their experience with the customer support provided by each CRM. This helps me make an informed choice and ensures that any issues or questions I may have will be promptly addressed.

Compare Pricing Plans and Features

Pricing plans and features vary, so it’s crucial to find a CRM that suits your photography business perfectly. When comparing different CRMs, one important aspect to consider is the integration options for third-party tools. As a photographer, you may already be using other software or apps to manage your bookings, payments, or marketing efforts. Therefore, it’s essential to choose a CRM that seamlessly integrates with these existing tools.

Look for CRMs that offer integrations with popular platforms like WordPress, Mailchimp, or QuickBooks. This way, you can streamline your workflow and avoid duplicating efforts by having all your data in one centralized location.

Another factor to consider when evaluating pricing plans and features is the availability and functionality of mobile apps. As photographers are often on the go, having access to a mobile app can greatly enhance productivity and efficiency. A good CRM should provide a well-designed mobile app that allows you to manage contacts, schedule appointments, track leads, and even send invoices from anywhere at any time. Make sure the mobile app offers all the necessary functionalities you require for your photography business.

Now that we’ve explored how pricing plans and features can differ among various CRMs, let’s move on to another crucial aspect: reading reviews and testimonials for customer support experience.

Read Reviews and Testimonials for Customer Support Experience

To truly understand the level of support you can expect, immerse yourself in the experiences of other photographers by reading their heartfelt testimonials and reviews. Here are three key aspects to consider when evaluating customer support experience for CRM systems:

Importance of prompt response time

As a photographer, time is of the essence and you need quick resolutions to any issues or questions that may arise. Look for reviews that highlight the CRM’s ability to provide timely responses and address concerns promptly. A system that values your time and offers efficient customer support will ensure smooth operations for your photography business.

Effective problem-solving strategies

When facing technical difficulties or challenges with the CRM, it’s crucial to have a support team that is knowledgeable and adept at finding solutions. Opt for a CRM with positive reviews regarding their problem-solving strategies. Whether it’s through live chat, phone support, or email correspondence, a team that goes above and beyond to resolve issues will save you valuable time and frustration.

Personalized assistance

Every photographer has unique needs and requirements when it comes to their CRM system. Reading testimonials about personalized assistance can give you an indication of how well a CRM caters to individual preferences. Look for reviews that mention tailored recommendations, customized training sessions, or dedicated account managers who understand your specific workflows.

By considering these aspects in reviews and testimonials, you can gain insight into the level of customer support experience offered by different CRMs for photographers.

Now let’s explore the top CRMs specifically designed with photographers in mind.

Most modern CRMs offer customization options specifically tailored to photography workflows. This means that you can easily adapt the CRM to fit your unique needs as a photographer. Whether it’s organizing client information, managing leads and inquiries, scheduling appointments, or tracking payments and invoices, integrating a CRM with your website allows for seamless data flow and automation.

Are there any limitations on the number of clients or contacts that can be managed in the CRM?

There are typically limitations on the number of clients or contacts that can be managed in a CRM, although these limitations can vary depending on the specific CRM software you choose.

Some CRMs offer different pricing tiers based on the number of clients or contacts you have, while others may have a set limit for all users. It’s important to consider this limitation when choosing a CRM for your photography business because if you anticipate having a large number of clients or contacts, you’ll want to ensure that the CRM you choose can accommodate your needs.

However, it’s also worth noting that some CRMs offer features such as segmentation and filtering options which allow you to more effectively manage and organize your client base, making it easier to navigate and work with larger numbers of clients or contacts.

Ultimately, the pros of using a CRM for photographers include improved organization, streamlined communication, and enhanced client management capabilities, while some potential cons could include cost considerations and learning curves associated with implementing new software into your workflow.

When choosing the right CRM for your photography business, it’s important to consider factors such as scalability, integrations with existing systems (like websites or portfolios), ease of use, customer support options provided by the CRM provider, and any additional features specifically tailored towards photographers’ needs.

When considering customization options, it’s important to also consider pricing options as some CRMs may charge additional fees for advanced customization features. However, investing in a CRM that can be customized to align with your photography workflows can greatly enhance your efficiency and productivity in managing clients and contacts.

Can the CRM be accessed and used on mobile devices such as smartphones or tablets?

Yes, the CRM I’m referring to can be accessed and used on mobile devices such as smartphones or tablets. This brings several advantages for photographers.

CRM automation streamlines processes, reduces manual errors, and ensures that no task is forgotten or overlooked. With automated workflows, photographers can set up triggers and actions based on specific criteria, allowing for seamless communication with clients and efficient management of projects. This not only saves time but also enhances customer satisfaction by ensuring timely responses and personalized interactions.

What CRM for photographers do you personally use?

I use 17hats for my photography business and Honeybook for my education business. They both operate perfectly as I need them to. Never any issues. I primarily use 17hats for my photography business because I wanted both 1) a custom design for my contact form on my Showit website and I didn’t want to embed a contact form and 2) I wanted a VERY specific quote design that I wasn’t able to replicate on other CRMs. (If you would like to know the strategy I use, you will have to get me as your photography business coach).
